Legal, privacy and regulatory correspondence
For legal notices, privacy requests, regulatory correspondence or security-related disclosures, contact legal@g9rhsystems.com.
For projects, quotations and general business enquiries, please use our enquiry form.
Enquiries and project information
We collect the name, email address, phone number and project details you submit. You may also provide your organisation, an existing website or system link, project type and timing. Please do not send passwords, payment card details or sensitive personal information through the enquiry form.
We use this information to respond, understand your requirements, prepare quotations and manage agreed work. Where you ask us to take steps towards a contract, that is our legal basis. For business contacts and general enquiries, we rely on our legitimate interests in responding and running the business. We retain accounting records where required by law. An enquiry does not subscribe you to marketing.
Website operation and security
Netlify hosts the website and processes form submissions, including spam filtering. Google reCAPTCHA protects the form against abuse and may process device, network and interaction information and use cookies. It operates independently of optional analytics. See Google’s privacy policy and terms.
Hosting and security providers may process IP addresses and technical logs to deliver and protect the website. We rely on our legitimate interests in keeping the service reliable and preventing abuse.
Optional analytics and your choices
Google Analytics loads only after you accept analytics. It helps us understand page visits, approved link clicks, form errors and successful submission confirmations. It may process device and browser information, approximate location, page addresses and referral or campaign information. We do not send your form answers or contact details to Analytics. With analytics accepted, short campaign labels from your current page address may also accompany your enquiry to help us understand its source. They are not stored before consent and do not include advertising click IDs.
Analytics cookies such as _ga and _ga_* are configured with a six-month expiry, which may refresh on use. We store your consent choice for up to 180 days. A timestamp in session storage links a consented successful submission to its confirmation page for up to 30 minutes; it is consumed once and contains no form answers. A submission confirmation is not a guarantee that an enquiry has passed subsequent spam review.
Rejecting optional analytics does not prevent an enquiry. You can withdraw consent at any time using . Withdrawal stops further Analytics collection and clears the Analytics cookies accessible to this website; it does not undo earlier lawful processing. Advertising storage, advertising data sharing and personalised advertising are disabled.
Cloudflare Web Analytics provides a separate cookieless view of traffic on the live website. It does not use Analytics cookies. See Cloudflare’s privacy policy. Local development and review builds do not load either analytics service.
Your chosen light or dark appearance is stored on your device. Consent and appearance preferences are separate from analytics. You can remove them using your browser’s site-data controls.
Providers and international processing
We use Netlify for hosting, forms and spam protection; Cloudflare for DNS, email forwarding and traffic measurement; and Google for email, reCAPTCHA and consented Analytics. Legal correspondence is handled through a dedicated mailbox. Our email service providers process those messages to deliver and store them. Information may be processed outside the UK. Where required, we rely on applicable adequacy arrangements or approved contractual safeguards with providers. Contact us for information about the safeguards applicable to your data.
We do not sell your personal information. We share it only as needed with service providers, advisers or authorities where necessary for the purposes above or to meet legal obligations.
How long we keep information
We normally review enquiries that do not lead to work after 12 months and delete them when no longer needed. Project, contractual and financial records may need to be kept longer for delivery, accounting, legal obligations or disputes. We periodically review stored information rather than keeping it indefinitely.
Your rights
Depending on the circumstances, you can ask to access, correct, delete or restrict use of your information, object to processing based on legitimate interests, and request data portability. You can withdraw consent without affecting processing before withdrawal. Contact us using the details above; we normally respond within one month.
You can complain to the Information Commissioner’s Office. We would welcome the opportunity to resolve your concern first.
Project terms and brand
Services are supplied under an agreed scope, quotation and terms. Enquiries do not create a contract or an obligation to purchase. Hosting and support inclusions, charges, ownership, cancellation and handover arrangements are agreed for each project.
